Once you’ve actually received a bank transfer, cash, or check payment, you record it yourself so the invoice reflects reality.

Steps

  1. Open the invoice.
  2. Select the option to record a manual payment.
  3. Confirm the amount and method received.
  4. The invoice’s status changes to Paid.

What happens next

The invoice is marked Paid and locked — see What becomes frozen after you send an invoice.

Important behavior and limitations

  • Recording a manual payment requires Admin or Owner access; teammates with User-level access can’t mark an invoice as paid.
  • SimplePayment takes your word for it — it doesn’t independently verify that a bank transfer, cash, or check payment actually arrived.
  • If you record a payment by mistake, you can cancel the invoice — see Cancelling and restoring an invoice — though that doesn’t reverse money that’s already changed hands outside SimplePayment.
